Case management

Immigration case management software for UK practice

Most case management software was built for litigation and conveyancing, then sold to immigration teams as a “configurable option”. It handles matters, time recording and billing well enough. What it doesn’t know is that an FLR(M) application expects different evidence from a Skilled Worker application — or that a bank statement covering two months when the rules ask for six is the single most common reason a case comes back. DocsCheck is built for UK immigration specifically: document requirements per route, AI checking on every upload, and a clear view of whether a case is actually ready to submit.

What immigration work needs that generic legal software doesn’t

Immigration practice is document work. The legal position is often straightforward; the failure point is evidence — missing, expired, untranslated, inconsistent, or simply the wrong document for the route. Generic case management gives you a matter record and a file store. It doesn’t know what a Spouse visa needs. So firms build that knowledge into spreadsheets, Word checklists and the memory of whoever has done the route most often. That works — until a fee-earner leaves or volume rises.

DocsCheck holds route requirements inside the software. Each visa category — Visit, Spouse, FLR, ILR, Skilled Worker, Asylum — has its own document schema reflecting what that route actually expects, not one generic list applied to everything.

Route-specific document requirements, not a generic checklist

When a client is set up on a route, DocsCheck already knows which documents that route expects. Each document is tracked through pending, approved, not approved and needs-more-info, with feedback recorded per document so the client sees exactly what’s wrong and why.

Identity and proof-of-address documents are stored separately from visa evidence, so they’re reusable across applications rather than re-uploaded each time. And if a client’s route changes mid-case, documents are reassigned to the new route’s requirements automatically.

AI checking on every upload

Every document uploaded is analysed automatically. The fee-earner sees a quality score and compliance notes per document — flagging the wrong document type, an insufficient date range, or something that simply isn’t legible — without anyone opening the file first.

This is a second check, not a substitute for yours. It catches the mechanical errors that eat review time, so professional judgement goes where it actually matters. If you want a sense of where your current process is most exposed, the free Document Risk Scanner gives an indicative read in about thirty seconds.

The questionnaire, and where the time actually goes

Client information gathering is the other place immigration cases stall. DocsCheck includes over 600 pre-built questions covering the major UK routes, with conditional logic so questions appear based on earlier answers, auto-save so nothing is lost, and a staff inbox showing completion across every active client.

Here’s the part that saves the most time: when a client uploads a passport, BRP, payslip or tenancy agreement, the AI reads it and suggests answers to matching questionnaire fields. Where a typed answer matches the document, it’s marked verified. Where it disagrees, both versions are shown side by side and the client decides. Nothing is filled in or overwritten without the client confirming it.

Representation letters and case readiness

DocsCheck drafts full representation letters using GPT-4o, pre-filled with the client’s questionnaire data, visa details and approved documents. Every version is saved and editable, with a change history available to administrators.

Before a letter goes out, DocsCheck calculates case readiness from document approval and questionnaire completion. So you can see whether a case is genuinely ready — rather than assuming it is.

Built for regulated practice

DocsCheck is built for SRA-regulated solicitors and for advisers regulated by the Immigration Advice Authority (IAA, formerly the OISC). Every admin and staff action across every case is logged and timestamped — uploads, approvals, rejections, status changes — which is exactly what you need when you have to show how a case was handled. There is more detail on how DocsCheck fits regulated practice, and on who it’s built for.

Documents are stored on Google Cloud Storage with per-organisation data isolation, so no data is shared between firms. Access controls include two-factor authentication, session-based permissions and rate-limited login. Processing is in line with UK GDPR.

What DocsCheck deliberately doesn’t do

It doesn’t give immigration advice. It’s a document-checking and case-management tool — it supports document preparation and risk awareness, and it doesn’t assess eligibility or predict a UKVI decision. Every professional judgement remains yours as the instructed adviser.

It also doesn’t do time recording or billing. If your firm needs a full practice-management ledger, DocsCheck sits alongside it rather than replacing it.

Questions

Immigration case management software FAQ

Is DocsCheck case management software or document checking software?

Both. It manages the case — client records, documents, questionnaires, letters, status history — and checks documents with AI as they’re uploaded. The document checking is the part generic case management software doesn’t do.

How is this different from Clio or other general legal case management software?

General legal case management is horizontal: it handles matters, time and billing across practice areas, with immigration as one configuration among many. DocsCheck is only immigration — so route-specific document requirements, UKVI evidence expectations and IAA/OISC regulatory framing are built in rather than configured. It doesn’t try to replace a billing ledger.

Which UK visa routes does it cover?

Visit, Spouse, FLR, ILR, Skilled Worker and Asylum each have their own document schema and questionnaire set.

Does the AI make decisions about my cases?

No. It scores and annotates documents, and suggests questionnaire answers from uploaded documents. Suggestions are offered, never applied silently, and the client confirms each one. All professional judgement stays with the adviser.

Is it suitable for a sole practitioner or small firm?

Yes. The Starter plan is single-user and built for sole practitioners and small firms, with limits set by client cases and AI document checks rather than a minimum team size. The 14-day trial needs no card.

Where is client data stored?

On Google Cloud Storage with per-organisation isolation, processed in line with UK GDPR. Storage location and sub-processors are set out in our Data Processing Agreement.
