How do I upload documents for a client?
Go to the client's profile, select the Documents tab, and click Upload. You can drag and drop multiple files or click to browse. Each document is automatically scored by AI immediately after upload. Large files are compressed automatically.
What does an AI document score of 7/10 mean?
AI scores run from 1–10 and reflect quality, readability, completeness, and correct document type. A score of 7 is generally adequate — it means the document is usable but has minor issues (slightly low resolution, partially cropped text, etc.). Scores below 5 indicate significant quality issues that may cause problems at UKVI. Always review the AI notes alongside the score.
Can clients upload documents themselves?
Yes. Clients have their own login (via OTP email) and can upload documents directly from any device. Staff see uploads in real time and can approve, reject, or request more information on each document. Automated reminders prompt clients who haven't uploaded required documents.
How do I send a questionnaire to a client?
Go to the client's profile and select the Questionnaire tab. Choose the questionnaire template for their visa route and click Send invitation. The client receives an email with a direct link. You can track their progress in real time from the Questionnaire Inbox.
How does the AI representation letter generation work?
On the client's Letters tab, click Generate letter. DocsCheck uses GPT-4o to draft a representation letter pre-filled with the client's questionnaire responses, uploaded documents, and visa route requirements. The draft is editable by the fee earner. Every version is saved with a full edit history.
Can I add multiple staff members to one organisation?
Yes, on Professional and Firm plans. Go to Settings → Team, and click Invite staff. Assign them a role (admin, staff, billing, or document user). Staff can be assigned to specific clients only, or given access to all clients depending on your visibility settings.
What happens to my data if I cancel my subscription?
When you cancel, your account moves to read-only mode. You can view all existing cases, documents, and letters, but cannot add new clients or upload documents. All data is retained for 90 days after cancellation, during which you can export everything. After 90 days, data is permanently deleted. Contact hello@docscheck.co.uk to request a data export.
Does DocsCheck work on mobile?
Yes. DocsCheck is fully responsive and works on desktop, tablet, and mobile. Clients can complete questionnaires and upload documents from their phone. The staff dashboard is optimised for desktop but accessible on mobile for checking case status on the go.
