Terms of Service
Important: DocsCheck does not provide immigration advice, legal representation, or decision-making guidance. All legal decisions and professional judgements remain the sole responsibility of the instructed immigration professional. See section 6 for the full disclaimer.
These Terms of Service constitute a legally binding agreement between you and Zayn Productions Ltd (Company Number 16892199), registered at 1 Alvin Street, Gloucester, England, GL1 3EJ ("DocsCheck", "we", "us", "our"). By accessing or using the DocsCheck platform, you agree to these terms.
1. Definitions
- "Platform" means the DocsCheck software application accessible at app.docscheck.co.uk and any associated APIs.
- "User" means any individual who accesses the Platform under an Organisation account.
- "Organisation" means the firm, practice, or entity that has subscribed to DocsCheck.
- "Client" means an end user (immigration applicant) whose data is managed within the Platform by an Organisation.
- "Subscription" means your paid or trial access to the Platform under a chosen plan.
- "Content" means all documents, data, text, and information uploaded or entered into the Platform.
2. Account registration and eligibility
To use DocsCheck, you must:
- Be at least 18 years of age
- Be a regulated immigration professional (solicitor, OISC-regulated adviser, or employed by a regulated practice) or operate as an in-house immigration team
- Provide accurate and complete registration information
- Maintain the security of your account credentials
You are responsible for all activity that occurs under your account. Notify us immediately at hello@docscheck.co.uk if you suspect unauthorised access.
You may not share account credentials with individuals outside your Organisation. Each active user must have their own account.
3. Subscriptions and payment
3.1 Trial period
New Organisations are entitled to a 14-day free trial with the limitations set out at sign-up (currently: 5 client cases, 20 AI document checks). No payment information is required to start a trial. At the end of the trial, your account moves to read-only mode unless you subscribe to a paid plan.
3.2 Paid subscriptions
Paid subscriptions are billed monthly or annually in advance. Prices are as set out on the Pricing page and may be updated with 30 days' notice. All prices are exclusive of VAT. VAT will be applied at the prevailing UK rate where applicable.
3.3 Cancellation and refunds
You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. We do not provide refunds for unused portions of a billing period, except where required by applicable law or at our sole discretion.
3.4 Non-payment
If a payment fails and remains outstanding for 7 days, we may suspend access to the Platform. We will notify you by email before suspension. If payment is not received within 30 days of suspension, we may terminate the account.
4. Acceptable use
You agree to use DocsCheck only for lawful purposes and in accordance with these Terms. You must not:
- Use the Platform to process data for purposes other than legitimate immigration case management
- Upload unlawful, fraudulent, or misleading content
- Attempt to reverse-engineer, decompile, or copy the Platform
- Use automated tools to scrape, crawl, or systematically access the Platform
- Share or resell access to the Platform without our written consent
- Use the Platform in a way that could damage, overload, or impair its operation
- Attempt to gain unauthorised access to other Organisations' data
- Use output from the Platform as a substitute for professional legal advice
5. Your data and content
You retain ownership of all Content you upload to the Platform. By uploading Content, you grant Zayn Productions Ltd a limited licence to process, store, and use that Content solely for the purpose of providing the Platform services to you.
We will not use your Content or your clients' data to train AI models or for any purpose other than providing the services described in these Terms and our Privacy Policy.
You are responsible for ensuring that you have the necessary rights and consents to upload client personal data to the Platform, and that your use of the Platform complies with applicable data protection law, including UK GDPR. Our Data Processing Agreement governs our processing of personal data on your behalf.
6. No legal advice — important disclaimer
DocsCheck is a document preparation and refusal-risk awareness tool. It does not provide immigration advice, legal representation, or decision-making guidance of any kind.
Specifically:
- AI document analysis results, risk scores, and refusal indicators are provided for informational purposes only and do not constitute legal or professional advice.
- AI-generated representation letters are drafts only and must be reviewed, verified, and approved by a qualified professional before use. They do not constitute advice.
- Questionnaire outputs and case summaries are not a substitute for professional assessment.
- No output from DocsCheck should be treated as confirming that an application will succeed or fail.
All legal decisions, case strategy, professional advice, and regulatory compliance remain the sole responsibility of the instructed and qualified immigration professional. You must exercise your own professional judgement and comply with all applicable regulations, including the Immigration Rules, the OISC Code of Standards, and the SRA Code of Conduct.
7. Intellectual property
All intellectual property rights in the DocsCheck Platform, including the software, design, AI models, questionnaire frameworks, and documentation, are owned by or licensed to Zayn Productions Ltd. Nothing in these Terms grants you any rights in the Platform beyond the limited right to use it during your Subscription.
You retain all intellectual property rights in your own Content. Our use of your Content is strictly limited to providing the services as described.
8. Availability and support
We aim to maintain high availability of the Platform but do not guarantee uninterrupted access. Planned maintenance will be notified in advance where possible. We provide support via email at hello@docscheck.co.uk. Response times vary by plan as set out on the Pricing page.
9. Limitation of liability
To the fullest extent permitted by applicable law:
- Our total liability to you in connection with these Terms, whether in contract, tort, or otherwise, shall not exceed the total fees paid by you to us in the 12 months preceding the event giving rise to the claim.
- We shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill.
- We shall not be liable for any loss arising from your reliance on AI-generated outputs, refusal risk scores, or any other Platform output as a substitute for professional legal advice.
- We shall not be liable for any regulatory, professional, or legal consequences arising from your use or misuse of the Platform.
Nothing in these Terms limits liability for death or personal injury caused by our negligence, fraud, or any other matter that cannot be excluded under English law.
10. Termination
Either party may terminate a Subscription at any time in accordance with section 3.3. We may terminate or suspend your account immediately if:
- You breach any material provision of these Terms and fail to remedy the breach within 14 days of written notice
- You use the Platform for unlawful purposes
- We are required to do so by law
On termination, your access to the Platform ceases. Your data will be retained for 90 days after termination, after which it will be deleted. You may request an export of your data before this period expires.
11. Governing law and disputes
These Terms are governed by the laws of England and Wales. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
We prefer to resolve disputes informally wherever possible. Please contact us first at hello@docscheck.co.uk.
12. Changes to these Terms
We may update these Terms from time to time. We will notify registered users of material changes by email at least 30 days before they take effect. Continued use of the Platform after changes take effect constitutes acceptance of the updated Terms.
